Administrative Coordinator

Avalere Health is seeking a PMO Coordinator candidate to join its Project Management Office (PMO) team.

The PMO provides operational support to the advisory service business by creating and deploying processes, facilitating training and technical assistance, and delivering support services.  The team partners with key stakeholders across the firm, including consultants, practice leaders, and Corporate Services.

Responsibilities

  • Support the day-to-day operations of the PMO team
  • Manage firm subscriptions to publications and information resources:
    • Communicate with vendors, coordinate purchases, process invoices, and manage budget
    • Maintain user access information
    • Support access to resources
    • Educate staff on availability of resources
  • Serve as an administrator within the timekeeping system:
    • Track weekly submission of timesheets
    • Follow-up with staff when timesheets are not submitted by the deadline
    • Communicate any barriers staff are experiencing to timesheet submissions
    • Support timesheet entry as required
  • Serve as the training coordinator for the Associate Immersion Program
  • Assist with monitoring achievement and reporting on financial and delivery metrics
  • Ensure that project and staffing changes are communicated and reflected in management systems
  • Develop and update tracking documents across projects and practices
  • Develop and maintain calendar of team milestones and planned communications
  • Perform other duties as assigned

Education Requirements

  • Bachelor’s degree or equivalent experience

Skill Requirements

  • Strong oral and written communication skills
  • Strong Microsoft Office skills
  • Ability to influence team members of all levels (junior staff to executives) and work successfully in a matrixed environment
  • Ability to learn quickly, take direction, and work independently
  • High level of discretion for confidential work and information; ability to appropriately handle critical information and sensitive situations.
  • Excellent organization and time management skills; ability to meet tight deadlines; detail-oriented; flexibility to handle a variety of tasks and shift priorities simultaneously
