Avalere Health is seeking an experienced Executive Assistant to join its dynamic Corporate Services Team.

A competitive candidate will have significant experience with managing calendars for busy executives in Microsoft Outlook, proficiency in arranging domestic and international travel, and processing expenses. Candidates must possess a can-do, positive attitude and thrive in a fast-paced, collegial environment.

Responsibilities

  • Manage the calendars of the senior level executives through the use of Microsoft Outlook, proactively resolve calendar conflicts, and schedule both internally and externally facing meetings efficiently
  • Prepare and submit expense reports and reconciles credit card statements for processing and reimbursement in Concur
  • Make all travel arrangements, including air, ground transportation and hotel, and produce detailed travel itineraries for individual and group travel
  • Provide a high level of customer service to the senior leadership through executing a variety of tasks including but not limited to: filing, scanning, and printing documents, handling email correspondence, updating charts in Microsoft PowerPoint and Excel, creating and updating reports, picking up lunches, ordering special supplies, retrieving and responding to voicemail
  • Composes and prepares memos, letters and other correspondence from rough drafts; formats documents, proofreads and verifies documents for accuracy
  • Finalizes correspondence for signature and distribution as appropriate
  • Handles logistics for internal and external meetings, including reserving conference rooms, arranging flip charts, printing and preparing meeting materials, ordering catering, and greeting guests
  • Assists with preparation and submission of client invoices and related reports through financial software
  • Assists in providing telephone and front desk coverage to the front desk coordinator
  • Other duties as assigned

Experience Requirements

  • Worked in fast paced, dynamic environment, with changing demands
  • Worked intensively in Microsoft Office Suite
  • Worked as an executive assistant or similar role for a minimum of five years
